How to keep business expense and transaction records

Set up a manageable routine for sales, business expenses, receipts and bank reconciliation before the paperwork piles up.

The aim is a reliable habit, not perfect accounts on day one

Bookkeeping should let you answer four basic questions: what have you sold, what have you spent, what is still owed, and how much cash is genuinely available? Set up the smallest system that answers those questions and can support the tax and filing duties for your structure.

Set it up this week

  1. Separate business activity. Use a business account where appropriate and stop mixing ordinary personal spending into the same trail.
  2. Choose one place for the books. This might be suitable accounting software or a carefully controlled spreadsheet for a very simple start. Check Making Tax Digital, VAT and accountant requirements before choosing.
  3. Create a receipt route. Photograph or forward evidence as soon as a cost happens. Keep the supplier, date, amount, tax and business reason together.
  4. Create the first sales record. Use unique invoice numbers and record payments against the right invoice rather than treating every deposit as unexplained income.
  5. Record money you put in or take out. Owner drawings, capital, director loans, expenses and dividends are not interchangeable.
  6. Reconcile the bank. Match the books to the actual account regularly and investigate differences rather than forcing the total to agree.

Choose a routine you will keep

For a small new business, fifteen minutes each week is usually more useful than a stressful weekend once a quarter. Set a fixed day to capture missing documents, match payments, review unpaid invoices and look ahead to tax and larger bills.

Before buying software

Check that it supports your business structure, current digital tax requirements, bank feeds, VAT if relevant, invoices, exports and the person who will prepare the accounts. A large suite is not automatically better. Ask an accountant which records they need before paying for a long contract.

What complete looks like

Every transaction has a clear category and evidence, the bank reconciles, money owed is visible and somebody is responsible for the next review. Store only financial planning notes in the roadmap; keep detailed accounts and bank data in the finance system.
